T-DEP - Toastmasters Data Exchange Program

After a bit of research throughout Toastmasters and after asking MANY members, I have not been able to find a complete software system for efficiently exchanging information from Club to Area to Division to District levels.  Without a system, we now use emails, phone calls and a myriad of loosely designed, non-uniform spreadsheets.  This causes confusion, frustration, delays and inaccuracies at all levels.

With over 28 years experience as a Software Developer and Systems Analyst for Medical Offices and private organizations (Teamsters Local 631, Las Vegas, Muscular Dystrophy Association Europe, etc) I intend to design and coordinate a data exchange program for Toastmasters throughout the District.  Pictured here, is the T-DEP program being introduced at a recent District Executive Committee (DEC) meeting in Orlando.

The goal of this program is to allow efficient sharing of important information throughout the District.  This in turn will expedite monitoring and reporting to world headquarters. This program will be provided for FREE as a courtesy to Toastmasters.  I will be seeking qualified application developers from within the District's Toastmaster Clubs to work on this project with me. 
 
CTM - Club Task Manager ATM - Area Task Manager

  • Member current demographics (Address, phone, etc)

  • Member educational levels and future levels

  • Attendance of Officer Training

  • Nomination tracking

  • Dues & reminders

  • Meeting minutes

  • Meeting agendas

  • Contest and event coordination – Assign functionaries – track winners, etc

  • Exchange Calendars – Export/Import with Area Governor – Show conflicts

  • Exchange Reports – Export/Import with Area Governor

  • Data acquired will automatically generate DCP plan for Area

  • Important dates will flash on screen for important events (Dues, Nominations, Contests, etc)

  • Monitor DCP status based on imported data from Clubs     

  •  Training status based on imported data from Division Governor

  • Contest and event coordination – Assign functionaries – track winners, etc      

  • Exchange Calendars – Export/Import with Clubs and Division Governor  

  • Exchange Reports – Export/Import with Clubs and Division Governor      

  • Reminder System for Club Visits, Reports, Dues, Contests, etc.

  • Monitor all Area business

  • Exchange Reports – Export/Import with Area Governors and District Governor      

  • Exchange Calendars – Export/Import with Area Governors and District Governor      

  • Contest, training and event coordination – Assign functionaries, track winners, etc      

  • Important dates will flash on screen for important events

 

  • Monitor all Division business   

  • Monitor progress of all forming clubs     

  • Monitor per-caps    

  • Budget tracking     

  • Exchange Reports – Export/Import with Division Governors

  • Exchange Calendars – Export/Import calendars to eliminate conflicts     

  • Coach/Mentor/Sponsor/Judge information (addresses, dates assigned, etc)     

  • DEC Meeting and Conference Coordination

  • Track Club/Area distribution
